Siwaan (“we,” “us,” or “our”) provides an AI-native workforce intelligence platform designed for IT services and consulting companies. We respect your privacy and are committed to protecting the personal data we process.
This Privacy Policy explains how we collect, use, store, and process information when you use our website, local deployment agents, and dashboard services.
2. Data We Collect
We process information under two main categories: prospect/website visitor data (processed as a Controller) and customer workforce data (processed as a Processor).
- Customer HR Data: Uploaded HRIS schema data, team rosters, project allocations, and Weekly Status Reports (WSRs).
- Usage & Telemetry: Anonymized dashboard interaction logs, feature clicks, and error tracking metrics.
- Contact Info: Name, business email, and company details provided during webinar registrations or request demo forms.
3. How We Use Your Data
We process data to deliver the core forecasting features of the Siwaan platform:
- To run semantic matching algorithms between bench employees and open client roles.
- To calculate individual and team-level attrition risk index parameters.
- To generate automated workforce summaries, board slide templates, and ROI metrics.
4. Data Residency & Local Processing
Siwaan is structured with a local-first architecture. This means your sensitive employee records, WSR text summaries, and compensation details never leave your infrastructure. All machine learning models (Qwen2 local inference, spaCy NLP pipeline, and Sentence-Transformer embedding sets) run locally on-premise. No third-party AI APIs or external clouds are used for workforce analytics.
5. Data Sharing & Processors
We do not sell, rent, or trade customer data. We only share anonymized analytics data with subprocessors essential to our infrastructure (such as Vercel for web hosting and Stripe for SaaS invoicing).
6. Data Retention Policies
We store prospect contact info for as long as needed to service request requests. Customer data is retained for the active contract term and deleted within 30 days of subscription termination upon explicit customer written request.
7. Your Rights & GDPR Compliance
Under the EU GDPR and India's DPDP Act 2023, you hold rights to access, rectify, port, or request erasure of your personal records. If you are an employee of one of our corporate customers, please direct your request to your employer's HR administrator first.
